Customer Conduct & Blacklisting Policy

Estilo Phondeaux is built on mutual respect. We welcome confident, expressive customers — and we expect clarity, responsiveness, and good faith in return. This policy outlines acceptable conduct and explains when restrictions or blacklisting may occur.

1. Purpose of This Policy

This policy exists to:

  • Protect the time and resources of Estilo Phondeaux and its partners

  • Ensure fair access to stock and delivery capacity

  • Maintain a smooth experience for committed customers

Placing an order signals agreement to engage respectfully and responsibly.

2. Order Confirmation Responsibility

Once an order is placed, customers are expected to:

  • Respond promptly to order-confirmation messages or calls

  • Be reachable on the contact details provided

  • Confirm delivery or pick-up when contacted by Word of Mouth

Failure to engage disrupts the fulfilment process.

3. Ghost Orders

A ghost order occurs when a customer:

  • Places an order and then becomes unresponsive

  • Ignores repeated WhatsApp messages and phone calls

  • Fails to confirm delivery or pick-up after stock has been reserved

  • Is unavailable at the agreed delivery or collection time without notice

Word of Mouth follows a structured confirmation process, including multiple call and message attempts, before an order is marked unresponsive.

4. Blacklisting Criteria

A customer may be restricted or blacklisted if any of the following occur:

  • Five (5) ghost orders linked to the same contact number or identity

  • Repeated last-minute cancellations after stock has been secured

  • Repeated refusal to accept COD deliveries without valid reason

  • Abusive, threatening, or disrespectful communication

  • Attempts to manipulate policies, promotions, or delivery processes

Blacklisting decisions are made to protect operational integrity, not to punish.

5. Effects of Blacklisting

Blacklisted customers may experience:

  • Rejection of future orders

  • Removal from promotional broadcasts

  • Requirement to pre-pay (if payment methods become available)

  • Permanent denial of service in severe or repeated cases

Blacklisting may be temporary or permanent depending on the pattern of behaviour.

6. Exceptional Circumstances

Estilo Phondeaux recognises that life happens.

Exceptions may be considered where:

  • The customer communicates before 08:00 on the delivery day

  • Emergencies or uncontrollable circumstances are clearly explained

  • The issue is a once-off and not part of a pattern

Communication is always the difference.

7. Appeal Process

Customers who believe a restriction was applied unfairly may:

  • Contact Estilo Phondeaux via WhatsApp Business

  • Provide a clear explanation and order reference

Appeals are reviewed once.
The outcome of an appeal is final.

8. Final Authority

All decisions regarding customer conduct, order acceptance, restrictions, or blacklisting rest with Estilo Phondeaux.

This authority is exercised carefully, consistently, and in alignment with operational realities.
